1 Who We Are (Data Controller)

HireHub sp. z o.o. is a licensed employment agency registered under Polish law (PKD 78.10), authorised to recruit and deploy workers across the European Union.

2 What Data We Collect

2.1 Employer / Business Enquiries

When you contact us as a potential or existing employer client, we may collect:

• Full name and job title
• Company name and registered address
• Business email address and telephone number
• Details of workforce requirements (sector, volume, deployment country, timeline)
• Communications and correspondence with HireHub

2.2 Candidate / Job Seeker Data

When you register as a candidate seeking work in the EU, we may collect:

• Full name, nationality, and date of birth
• Email address and WhatsApp / phone number
• Work experience, skills, and qualifications
• Current work permit and immigration status
• Languages spoken and availability
• CV and supporting documents you provide
• Target country and job type preferences

2.3 Website Usage Data

When you visit www.hirehubtalent.eu, we may collect technical data including IP address, browser type, pages visited, and time spent on site through standard server logs and analytics tools.

4 Data Sharing and Third Parties

We do not sell your personal data. We may share your data only in the following limited circumstances:

• Employer clients — candidate profile data shared only with your explicit consent and for the purpose of a specific job placement
• Host-country authorities — where required by the Posted Workers Directive (PWD) or national law (e.g. A1 notifications)
• Polish ZUS (Social Insurance Institution) — for payroll and social security compliance
• IT service providers — including form processing services (Formspree) and website hosting (IONOS), under data processing agreements
• Legal and regulatory authorities — where required by law or court order

All third-party processors are required to maintain appropriate technical and organisational security measures and are bound by data processing agreements in accordance with GDPR Article 28.

5 International Data Transfers

HireHub operates within the EU/EEA (Poland) and the United Kingdom. Where data is transferred outside the EEA — for example to third-country origin countries for candidate sourcing purposes — we ensure appropriate safeguards are in place, including:

• Standard Contractual Clauses (SCCs) approved by the European Commission
• Adequacy decisions where applicable
• Explicit consent of the data subject where required

6 Data Retention

After the applicable retention period, data is securely deleted or anonymised.

7 Cookies and Tracking

Our website uses minimal technical cookies necessary for the site to function. We do not currently use advertising or tracking cookies. Analytics data collected via server logs is processed in aggregate and anonymised form.

You can control cookie settings through your browser preferences. Disabling cookies will not affect your ability to use the website.

9 Data Security

We implement appropriate technical and organisational measures to protect your personal data against unauthorised access, disclosure, alteration, or destruction, including:

• SSL/TLS encryption for all data transmitted via our website
• Access controls limiting data access to authorised personnel only
• Secure cloud storage with encrypted backups
• Staff training on data protection obligations
• Regular review of security procedures

In the event of a personal data breach that poses a risk to your rights and freedoms, we will notify the UODO within 72 hours and affected individuals without undue delay, as required by GDPR Article 33–34.

10 Children's Privacy

Our services are directed exclusively at adults (18 years and older). We do not knowingly collect personal data from individuals under the age of 18. If you believe we have inadvertently collected data from a minor, please contact us immediately at info@hirehubtalent.eu and we will delete it promptly.
